What if I still want a physical phone?
As an organization we will be using soft clients (laptop and headset) as our primary devices. Physical phones can be obtained with approval from your supervisor. Phone purchases will be charged back to your department.
I don't have a headset, how do I get one?
There will be a request process to receive a headset.
Will my phone number change in this process?
No, your number should stay the same.
I don’t have a phone number, or I don’t know my number, where can I find it?
You can find your phone number by going to the Calls tab in Teams. Look directly below the dial pad and you will see the text Work number with a phone number following. That is your phone number.
What should I do with my physical phone after I move to Teams Phone?
Phones will be collected by OLITS staff.
What happens to Cisco software that is installed on my computer?
Cisco software will be on your computer until the project has been completed.
What new features do we get with moving to Teams for Phones?
All UW System Administration employees are moving from A3 to A5 licenses. This gives employees access to the following features:
- Audio Conferencing - allows users to join Microsoft Teams meetings using a phone number instead of the Teams app. This feature is useful for people who don't have a computer or limited internet access. See this article to learn more about this functionality.
- Power BI Pro - users will have access to the data visualization and analytics tool
- My Analytics (Viva Insights) - this is a feature in Office 365 that helps users analyze how they spend their time at work.
Are all UW System Administration Employees getting Team’s phone?
The following employee classifications will receive access to Team’s phone: Limited Staff Classified Position, Academic Staff, Project Appointment and University Staff Temporary/LTE.
Individuals not receiving a license will be able to request a phone license with supervisor approval.
What is the timeline for moving to Team’s phone?
The move to Team’s phone will occur during January and February.
How will I know which day I’m moving to Team’s phone?
You will receive an email from the Team’s Phone Project email that will provide you with your phone move date.

Do I need to lock my phone when I leave my desk?

How do I create my voicemail message?
There is a default voicemail greeting that will be applied to your account. If you’d like to make a custom voicemail, do the following:
- In the Teams app, click the three dots in the upper right, click Settings from the dropdown, and then click Calls in the left hand rail.
- In the Voicemail section, click Manage voicemail.
- To record a new voicemail greeting, click Record a greeting and follow the prompts to record your message.

Do I need to be logged into Teams to receive calls?
Yes
How do I make internal (same tenant) calls in Teams?
This will function like your Team’s calls today. You do not need to dial users' numbers; you will be able to find everyone in your tenant in your address book.
How do I make an external (person not in our tenant) call in Teams?

Will my phone work differently between the Team’s desktop app and the teams in a web browser?
No this should work the same but make sure to check and configure your audio devices before using the Teams web application.
Is there different functionality for Windows and Mac users?
There are no major differences. There can be minor differences in user interface elements and performance optimizations specific to each operating system.
How do I dial 911 on Teams phone?
You can dial 911 just like you would on a regular phone. When communicating with the dispatcher please provide your specific location.
Can I use my cell phone to make and receive Team’s calls?
Yes, you will need to install the Team’s app on your phone to receive and make calls in Teams
