The Institute for Business & Entrepreneurship (IBE) helps entrepreneurs, businesses, and economic development professionals across the state to achieve their goals through expert consulting, educational resources and training, technical assistance, economic reports, and a dynamic statewide network.

Through our four distinct program units, IBE helps Wisconsin businesses perform at their highest levels. We help ideas and innovators succeed. We’re Wisconsin’s hub for specialized resources — many at no cost — to help business owners grow.

POSITION SUMMARY

The IBE Programming Outreach Specialist will help develop, coordinate, and execute efforts that support new, one-time, and ongoing training, programming, events and projects across two core program units: Food Finance Institute (FFI), and IBE Special Projects whose external audiences include businesses, economic developers, partners/stakeholders, consultants and UW (Universities of Wisconsin) institutions. Working with program unit managers and IBE/FFI staff, the specialist will use project management, problem solving, marketing, customer service and technical skill sets to organize, promote and administer programming and outreach events across program units. This person reports to the Food Finance Institute’s Content and Outreach Coordinator.

MAJOR RESPONSIBILITIES

Program Planning and Coordination:

  • Take primary ownership of in-person and virtual programming (including training, coaching, and other educational activities) for established programs as assigned, in collaboration with program unit leadership.
  • Coordinate end-to-end programming logistics and administrative support including, but not limited to: programs calendar, registration pages, content creation, customer experience, training administration, and occasional live assistance to facilitate activities.
  • Coordinate with and/or support contracted professionals to produce quality content and services as needed.
  • Manage documentation of and assist with training on website management and content creation tasks.
  • Provide customer service support for clients both seeking programming and actively enrolled in programming.
  • Strengthen and reinforce quality client and customer data to ensure impact reporting can be effectively and consistently shared.
  • Monitor data quality through data quality checks and balances, soliciting incomplete data, monitoring automations and workflows, and training on best practices.

Outreach Coordination and Training Promotions:

  • Provide outreach coordination to support activities such as event planning, event management and attendance, travel logistics support, and research/curation of outreach opportunities, lists, and actions to attract clients.
  • Manage and track outreach event landscape for engagement potential across program units.
  • Coordinate and support the accurate and timely execution of outreach activities and marketing campaigns.
  • Prepare social media advertising to promote our content, programs, and events.
  • Publish and/or produce social media content that tells our story in data, video, client success, and other areas to convey the value of our impact to key stakeholders.
  • Write and design content and produce outreach and marketing assets according to schedules, templates, and plans, using tools such as Canva, Mailchimp, and marketing automation software.
  • Serve as primary point person for websites by working with communications/marketing staff and program unit managers to create and systematically update content.

MINIMUM QUALIFICATIONS

  • 3 years’ experience in project management, event planning, marketing, communications, public relations, journalism, digital media production, and/or equivalent combination of education and experience.
  • Excellent verbal and written communication skills.
  • Demonstrated experience managing social media platforms, including Twitter, Facebook, YouTube, LinkedIn, and other emerging platforms, as well as social media management tools, including Buffer.
  • Experience in using a content management system for website implementation, maintenance, and content creation, with basic proficiency (or willingness to learn) WordPress and Canva.
  • Proficiency in Microsoft Office and virtual meeting tools like Zoom.
  • Proficiency in MailChimp or similar email marketing tool.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree
  • Proficiency in project management software such as Asana.
  • Experience with or willingness to learn workflow automations (like Zapier).
  • Demonstrated appreciation for data analysis and interpretation.
  • Experience with and interest in growing design and video skills.

  • Proven ability to interact and engage professionally with a diverse group of individuals and organizations.
  • Demonstrated ability to manage multiple projects and consistently meet deadlines.
  • Ability to work independently and efficiently, with outstanding problem-solving skills.
  • Excellent writing and proofreading skills, advanced design aesthetic, and strong attention to detail.
  • Excellent communication (written and speaking/listening), diplomacy, discretion, and presentation skills.
  • Attention to detail and familiarity with keeping quality records and data integrated, synced across a variety of platforms like a Customer Relationship Management (CRM) system (such as Zoho).

WORK LOCATION

Telecommuting or hybrid work options may be available. The office location is located at 780 Regent Street in Madison WI. Preference will be given to candidates that reside within the state of Wisconsin. Telecommuting agreements are subject to change at any time.

COMPENSATION AND BENEFITS

The IBE Programming Outreach Specialist (Official Title: Outreach Specialist) is a full-time, salaried (exempt), academic staff position.

Well-qualified candidates can expect a starting annual salary within a range of $55,000 – $67,000 commensurate with the candidate’s education, related experience, and qualifications.
