Learn how to change or split funding for a transaction on page eight of the Reconciler Business Process Guide.

Once a transaction appears in SFS, the cardholder has 30 days to reconcile it and ensure it is approved. 

We can add a proxy to reallocate on a cardholder's behalf. To request a proxy be added to your account, email procurement@uwss.wisconsin.edu and request a proxy. In the email, please include the last four digits of your card, plus the name and email address of the person we are adding as your proxy. Please note that you must have had at least one transaction posted to SFS prior to asking us to create a proxy.

Also, if you add someone as a proxy, please consider creating an Outlook rule so that the proxy is notified of a transaction requiring attention. To create this rule, see page 23 of the Reconciler Business Process Guide.

When adding a project to a funding string, remember to add UWZZZ  where ZZZ=your campus to the PC Business Unit column. 

There are many reasons for a PCard transaction to be declined. The most common reason is insufficient credit. Another common reason is merchant-based, as certain categories of merchants are blocked for use with a PCard.

To learn why your transaction was declined, email service.operations@uwss.wisconsin.edu with the following information:

  • Provide your name and the last four digits of your PCard.
  • Please inform us that your transaction was declined, including the transaction date and the merchant's name.

We will respond to your email as soon as possible with an explanation of why your transaction was declined.

The following steps should be used to load an attachment or update a business purpose to a PCard transaction that is in the Closed state.

  1. Log-in to SFS: https://portal.sfs.wisconsin.edu/login
  2. Navigate to the Reconcile statement page: Navigation Bar>Menu>Purchasing>Procurement Cards>Reconcile>Reconcile Statement
  3. In the Reconcile Statement Search enter your employee ID and click the magnifying glass. If you do not now your employee ID, enter your last name then the magnifying glass and search for your name.
  4. Use the other search criteria fields to locate the transaction you wish to add an attachment or business purpose.
  5. Note, you are not able to adjust funding to a closed transaction. And, you are not able to notify your approver for a closed transaction.
